DarkMatter Technologies — Privacy Policy

This Privacy Policy explains how DarkMatter Technologies (“DarkMatter”, “we”, “us”, or “our”) collects, uses, shares, and protects personal information when you visit https://officialdarkmatter.com, submit a form, contact us, apply for a job role, request support, participate in collaboration discussions, read our newsroom or blog, or use a DarkMatter service that links to this Policy. DarkMatter Technologies Pvt. Ltd. is our preferred future legal name; the company is not yet represented as registered under that name.

1. Scope

This Policy applies to the DarkMatter public website, inquiry and support forms, career and job application forms, newsroom and blog, and related communications. It does not automatically apply to a client’s website, application, or system that DarkMatter builds or supports. Those services are governed by the relevant contract and any separate privacy notice or data-processing terms.

Finvo, Finvo Web, Finvo Mobile, Finvo Desk, and future DarkMatter products are currently described as In Development, Coming Soon, or Concept/Planned. A separate product privacy notice and product terms will apply before a product accepts live users or business data.

2. Personal information we may collect

Depending on how you interact with us, we may collect:

• Contact and identity information: name, personal or work email address, mobile number, WhatsApp number, company, job title, country, and similar business contact details.
• Inquiry information: selected inquiry purpose and services, project description, client location or address when supplied for a Build inquiry, budget or timeline information if you choose to provide it, requirements, attachments, and information in your messages.
• Support information: issue descriptions, screenshots, logs, device or environment details, and communications needed to investigate a support request. Please do not send passwords, private keys, payment credentials, or production secrets through a general form.
• Career and job application information: resume/CV, education, skills, work history, portfolio, work samples, interview notes, evaluation results, references, availability, and information needed to administer recruitment.
• Feedback and product information: bug reports, feature requests, suggestions, and other feedback.
• Technical information: IP address, browser and device type, operating system, approximate location derived from IP, pages viewed, referring page, timestamps, security events, and similar technical logs.
• Communication preferences: subscriptions, opt-outs, and records of communications.
• Information from third parties: information provided by a referral, recruitment source, business partner, or publicly available professional profile, where permitted by law.

3. How we use personal information

We may use personal information to:

1. respond to build, support, collaboration, partnership, and job application inquiries;
2. understand requirements, prepare proposals, manage projects, and communicate about services;
3. investigate bugs, provide support, maintain systems, and improve reliability;
4. administer recruitment, technical evaluations, onboarding, and related records;
5. publish or manage the blog, newsroom, product updates, and other communications;
6. operate, secure, troubleshoot, and improve the website and future products;
7. send product, company, or marketing communications where permitted and where required consent has been obtained;
8. prevent fraud, abuse, unauthorized access, and other security incidents;
9. enforce agreements, respond to lawful requests, protect rights and safety, and comply with applicable law; and
10. create aggregated or de-identified information that does not reasonably identify you, where permitted by law.

4. Legal grounds and permissions

Where privacy law requires a legal basis, we may rely on consent, steps taken at your request before entering a contract, performance of a contract, compliance with a legal obligation, protection of legitimate interests, or another lawful basis available under applicable law.

For individuals in India, DarkMatter will handle digital personal data in accordance with applicable Indian data-protection requirements, including the Digital Personal Data Protection Act, 2023 and rules or notifications that apply to the relevant processing. Where consent is used, you may withdraw it using the method described in the relevant notice or by contacting us. Withdrawal does not affect processing that occurred before withdrawal or processing permitted on another lawful basis.

For individuals in the EU/EEA, United Kingdom, or other jurisdictions with similar regimes, additional rights and disclosures may apply. The relevant local law controls where this Policy conflicts with a mandatory local requirement.

5. How we share information

We may share personal information with:

• Form and email providers: Our inquiry form currently sends submissions through FormSubmit (formsubmit.co) to support@officialdarkmatter.com. FormSubmit’s own policy says that it processes form information to operate its service and may retain submissions for 30 days; review its privacy terms. The final retention and security outcome also depends on the email provider used for the support mailbox.
• Service providers: that host, store, transmit, analyze, secure, support, or help us operate the website and business. Our website is hosted on Vercel. They may process information only for authorized purposes and subject to appropriate contractual terms.
• Project or collaboration partners: when necessary to evaluate or perform a requested engagement, with appropriate permission or contractual safeguards.
• Professional advisers: such as legal, accounting, insurance, or security advisers, subject to confidentiality duties.
• Authorities or other parties: where disclosure is required by law, legal process, or a legitimate request, or where needed to protect rights, safety, and security.
• Business transaction participants: in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, subject to applicable law.

We do not sell or rent personal information for money, and we do not publish your personal email address or WhatsApp number as part of an inquiry. Access may be given to authorized DarkMatter personnel and the providers needed to receive and deliver the inquiry. No online transmission or storage system can provide an absolute security guarantee.

6. International transfers

Our service providers or collaboration partners may process information in countries other than the country where you live. Where required, we will use a lawful transfer mechanism and appropriate contractual, technical, or organizational safeguards. Contact us if you need information about the safeguards relevant to your request.

7. Retention

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, to provide the requested service, to resolve disputes, to enforce agreements, to meet legal or accounting requirements, and to maintain security records.

Backups may retain deleted information for a limited additional period before secure overwrite, subject to the applicable retention and security process.

8. Your rights

Depending on your location and applicable law, you may have the right to request access to, correction of, deletion or erasure of, or information about the processing of your personal information. You may also have rights to withdraw consent, object to or restrict certain processing, receive a portable copy, lodge a complaint, or nominate another person to exercise rights where the law provides that right.

To make a request, email support@officialdarkmatter.com with the subject “Privacy Request”. We may need to verify your identity and may ask for clarifying information. We will respond within the period required by applicable law. If we cannot complete a request, we will explain why, subject to lawful exceptions.

9. Cookies and similar technologies

We may use strictly necessary cookies and, if enabled, analytics, preference, security, or marketing technologies. You can also adjust browser settings, although disabling necessary cookies may affect site functionality.

10. Children

The public website is intended for people aged 13 or older. If you are under 18, use the website with a parent or guardian where appropriate. Applicable law may require verified parental or guardian consent for processing information from people under 18, and DarkMatter will follow that requirement. If you believe a child has provided personal information improperly, contact support@officialdarkmatter.com.

11. Security

We use administrative, technical, and organizational measures appropriate to the nature and risk of the information we process. No online service can guarantee absolute security, so please use secure channels and do not send secrets through ordinary forms.

12. Third-party links and embedded content

The website may link to third-party websites, tools, social profiles, or embedded content. Their privacy practices are controlled by their own notices. Review those notices before providing information.

13. Changes to this Policy

We may update this Policy as our website, products, services, or legal obligations change. We will post the updated version and change the “Last updated” date. Material changes may also be communicated through the website or by email where appropriate.
